A value-oriented case study is only as trustworthy as the evidence behind it. When a study examines how a community handled an ethical dilemma, how an organisation responded to a moral crisis, or how an individual navigated a question of integrity, the conclusions carry weight only if the evidence was gathered carefully and interpreted honestly. Sloppy evidence collection produces confident-sounding claims that fall apart under scrutiny. This guide walks through the practical methods that turn a collection of observations into a credible, defensible case study: how to collect evidence systematically, how to verify what you have gathered, and how to interpret it without letting your own assumptions take over.

Why evidence quality decides everything
Case studies hold a special place in research because they explore a single situation in depth and within its real-world context. That depth is their strength, but it is also their weakness. A case study examines one school, one village, one workplace, or one decision, so there is no large sample to average out errors. A single misread interview or an unverified document can distort the entire finding.
This is why methodologists insist that a case study should never rest on a single source. Robert Yin, whose work shaped modern case study practice, argued that a case relies on multiple sources of evidence that converge in a triangulating fashion. When several independent pieces of evidence point to the same conclusion, that conclusion becomes far harder to dismiss. When they conflict, the disagreement itself becomes useful information that tells you where to dig deeper.
For value-oriented studies, the stakes are higher still. Questions of honesty, fairness, courage, and responsibility are sensitive. People may present an idealised version of their own conduct. Records may be incomplete. The researcher’s personal values may quietly shape what counts as “right” behaviour. Strong evidence practices are the only protection against these pressures.
Systematic evidence collection
Systematic collection means following a planned, repeatable method rather than gathering whatever happens to be convenient. Before collecting anything, decide what your “case” actually is, what questions you want to answer, and which kinds of evidence could realistically answer them. This plan keeps you from drowning in irrelevant material and from missing sources you should have consulted.
Using triangulation to build reliability
Triangulation is the practice of approaching the same question from more than one angle so that no single weakness can undermine the whole study. The term comes from surveying and navigation, where a position is fixed by measuring it from multiple points. In research, it serves to reduce bias and improve the substantiation of a finding through multiple sources of evidence.
The sociologist Norman Denzin identified four distinct types of triangulation that remain the standard reference today:
- Data triangulation: collecting data at different times or from different sources, so that a claim is not based on one moment or one person’s account.
- Investigator triangulation: having different researchers independently study the same phenomenon and then comparing their findings, which exposes individual blind spots.
- Methodological triangulation: using more than one method of data collection, such as combining interviews with document review and direct observation.
- Theory triangulation: interpreting the same set of data through different theoretical lenses to test whether the conclusion holds up.
In a value-based case study, this might mean checking an interviewee’s account of an ethical decision against meeting minutes, against a colleague’s recollection, and against any written policy that applied at the time. If all four converge, you have a robust finding. If the interview claims one thing and the minutes show another, you have found a contradiction worth investigating rather than a conclusion to report.
Validating your sources
Triangulation only helps if each source is itself sound. Source validation means asking hard questions about every piece of evidence before it enters your analysis. Who created this document, and why? Was the person you interviewed in a position to know what they described, or are they repeating hearsay? Is this record complete, or has part of it been lost? A document produced for one purpose, such as a public report meant to reassure stakeholders, may present events differently from a private note written at the same time.
The point of source validation is not suspicion for its own sake. It is about understanding the limits of each piece of evidence so you can weight it appropriately. A useful habit is to note, for every source, both what it can tell you and what it cannot.
Techniques for evidence verification
Collecting good evidence is half the task. The other half is being able to prove, later, that you collected and handled it carefully. Verification is what separates a credible study from a set of personal impressions. It rests on transparent documentation of every step you took.
Maintaining an audit trail
An audit trail is a detailed record of how your study was conducted: what data you gathered, what decisions you made, why you made them, and how you moved from raw evidence to conclusions. The concept was introduced to qualitative research by Lincoln and Guba, who proposed that an auditor or second party could become familiar with a study and trace its logic to judge whether its findings can be relied upon.
A good audit trail typically captures several layers of material: the raw data itself, the products of data reduction and analysis, notes on the researcher’s intentions and decisions, and records of how categories or themes were developed. The records should be dated, so that a clear temporal order of events and decisions is preserved. Importantly, an audit trail is built throughout the study, not assembled at the end. Trying to reconstruct your reasoning months later from memory defeats the purpose.
The audit trail directly supports two qualities that researchers use to judge trustworthiness. Dependability concerns whether the methods were stable and clearly documented enough that the study could be repeated. Confirmability concerns whether the conclusions are genuinely grounded in the data rather than in the researcher’s preferences. As one overview explains, a confirmability audit verifies that the data actually supports the interpretations and conclusions, and that findings are not driven by bias.
Cross-checking and member checking
Beyond keeping records, you can verify evidence while you collect it. Two practical techniques stand out. The first is using multiple sources to confirm any important factual claim before it enters your findings, an extension of the triangulation principle. The second is member checking, where you take your interpretation of an interview back to the person who gave it and ask whether you understood them correctly. Together with methodological documentation, peer debriefing, and reflexive journaling, these checks strengthen the credibility of the final account.
Responsible interpretation of data
Evidence does not interpret itself. The researcher has to decide what the gathered material means, and this is exactly where bias creeps in most easily. Responsible interpretation means using a transparent, systematic method to move from raw data to conclusions, so that anyone reviewing your work can see how you got there. Two established methods are especially relevant.
Thematic analysis
Thematic analysis involves identifying, analysing, and reporting patterns, called themes, within a body of data. It is valued for its flexibility and accessibility, which makes it a sensible starting point for many case studies. The method can work in two directions. Inductive coding lets the themes emerge from the data itself, while deductive coding applies a pre-existing framework to structure the analysis.
Each direction carries a risk. Deductive coding can save time and ensure your areas of interest are covered, but you have to be careful of bias and watch that unexpected themes are not missed. A study that only looks for the values it expected to find will, unsurprisingly, find them. The safeguard is to deliberately create space for evidence that does not fit your assumptions, and to decide which coding approach you are using before you begin rather than drifting between them.
Grounded theory
Grounded theory takes a more demanding inductive path. Instead of testing an existing idea, the researcher builds a theory directly from the data, collecting and analysing together until the patterns stabilise. A defining feature is that it minimises engagement with existing theories during the study to prevent bias, letting the conclusions grow out of the evidence rather than out of prior expectations. This makes it well suited to value questions where you genuinely do not know in advance how people will reason or behave.
Grounded theory is not a guarantee against bias, however. Because the approach is heavily directed by the primary researcher, it can introduce bias into the analysis. The recommended discipline is to revisit the data several times, to take seriously the perspectives of other team members and the participants themselves, and to refine your coding as new evidence arrives rather than locking it in early.
Confronting your own bias
Whichever method you choose, the deeper challenge is that complete objectivity is impossible in this kind of work. Both grounded theory and thematic analysis strive to minimise researcher bias through rigorous techniques while acknowledging that full objectivity is difficult to achieve. The honest response is not to pretend bias away but to manage it openly. Reflexive journaling, in which you record your own assumptions, reactions, and shifting interpretations as the study unfolds, makes your influence visible instead of hidden. Having a colleague independently review your codes and themes adds another safeguard, supporting validation while reducing the chance that a single perspective dominates.
Bringing it together
These three practices reinforce one another. Systematic collection through triangulation gives you reliable raw material. A careful audit trail and verification techniques let you prove that material was handled with rigour. Transparent interpretation methods ensure your conclusions genuinely follow from the evidence rather than from your own preferences. Skip any one of them and the others lose their force: well-collected evidence interpreted carelessly is wasted, and a brilliant interpretation built on a single unverified source is fragile.
For value-oriented case studies in particular, this discipline is what allows a study of human integrity to be conducted with integrity. The methods are demanding, but they are what give a single, deeply examined case the authority to teach the rest of us something true.
