Every day brings situations that make us pause: a deadline that clashes with a family commitment, a maths question that refuses to yield, a friendship that suddenly feels strained. We casually call all of these “problems,” yet rarely stop to ask what the word actually means. Understanding the concept and nature of a problem is the first, often overlooked, step in solving it well. Before you can find a solution, you need to recognise that a problem exists, understand what kind of problem it is, and grasp why it troubles you in particular. This is where the study of problems begins.

What exactly is a problem?
In everyday speech, “problem” can mean almost anything unpleasant. In psychology, the term is far more precise. A problem is not simply a difficulty or a bad mood. It is a specific kind of situation defined by three elements working together: where you currently are, where you want to be, and the absence of an obvious way to get from one to the other.
The German Gestalt psychologist Karl Duncker offered what remains the most cited description of this idea. In his 1945 work On Problem-Solving, he explained that a problem appears when a person has a goal but does not know how to reach it. The key word is “thinking.” If you can move from your present situation to your desired one through simple, familiar action, no problem exists. You only face a true problem when ordinary action fails and you are forced to think your way forward.
The gap between the current state and the desired outcome
This definition reveals the heart of every problem: a gap. On one side sits your current state, the situation as it actually is. On the other sits your desired state, the outcome you are aiming for. Between them stands a barrier that prevents an easy crossing. A student who wants a higher grade but does not know which study method will deliver it, a young professional who wants a promotion but cannot see the path to it, a person who wants to repair a relationship but does not know how to begin, are all standing at the same kind of gap. Researchers studying more demanding tasks describe these as situations where the barriers between the given state and the goal state are unclear and must be worked out through deliberate effort.
How thinkers have defined problem situations
Duncker approached problems through the lens of Gestalt psychology, which views the mind as something that tries to see situations as whole structures rather than isolated parts. He argued that genuine problem solving is not about searching memory for a ready-made answer. Instead it involves restructuring the problem and understanding its inner nature, looking at the elements of the situation in a new way until a solution becomes visible. For Duncker, simply recalling a formula or asking someone else for the answer had little to do with real thinking.
The Czech psychologist Josef Linhart added a useful perspective by treating a problem less as a single question and more as a problem situation, a state of affairs that a person must resolve. In this view, a problem situation arises when there is a conflict, an uncertainty, or a tension that the person cannot simply ignore. The situation contains some demand, but the means to meet that demand are missing or unclear. This framing matters because it shifts attention from the abstract puzzle to the lived experience of being stuck, which is far closer to how problems feel in everyday life and at work.
Common types of problem situations
Not all problems are the same, and recognising the type often points toward the right approach. Psychologists and educators usually sort problems along a spectrum, with two broad categories at either end.
Well-defined and ill-defined problems
A well-defined problem has a clear starting point, a clear goal, and clear rules for getting there. Solving a quadratic equation, assembling furniture from an instruction sheet, or completing a chess puzzle are examples. You know exactly what success looks like, and there is usually a recognised path to it. An ill-defined problem, by contrast, lacks one or more of these. The goal might be vague, the rules unwritten, and the “correct” answer a matter of judgement. Choosing a career, resolving a dispute between friends, or deciding how to spend a limited budget are all ill-defined. As one overview of well-defined and ill-defined problems notes, creative tasks such as “paint a beautiful picture” resist neat formalisation, yet most people can still attempt them in their own way. Interestingly, large ill-defined problems often contain smaller, well-defined sub-problems hidden inside them.
Conflicting goals
Some problems are difficult not because the path is hidden but because two goals pull in opposite directions. A person may want to save money and also want to help a family member who needs financial support. A worker may want to finish a task quickly and also want to do it perfectly. Here the obstacle is internal: the difficulty lies in choosing between worthwhile aims that cannot both be fully satisfied at once.
A lack of clear means
In other situations the goal is perfectly clear, but the method is missing. You know you want to learn a new language, build a small website, or fix a leaking tap, yet you have no idea how to begin. The barrier is not the destination but the route. Recognising that a problem belongs to this category is helpful, because it tells you that the work ahead is mainly about acquiring knowledge, tools, or skills rather than clarifying what you actually want.
Why the same situation troubles one person and not another
One of the most important features of problems is that they are not purely objective. A situation that feels like a serious problem to one person may not register at all to someone else. A power cut is a minor inconvenience to one household and a crisis to another running a small business from home. A tricky email is trivial for an experienced manager and daunting for someone writing their first one.
This variation exists because perceiving something as a problem depends on the person’s goals, knowledge, resources, and past experience. Where a goal is absent, there is no gap and therefore no problem. Where the knowledge or means to act are already present, the gap closes instantly and the situation never becomes a problem at all. In short, a problem lives in the relationship between a person and a situation, not in the situation alone.
Motivation and the awareness of a problem
Before anyone can solve a problem, they must first notice it. This act of recognition, sometimes called problem awareness, is shaped strongly by motivation. We tend to register something as a problem only when it stands between us and something we care about.
Inner conflict as a trigger
Often the spark of problem awareness is an inner conflict, a sense that something is not as it should be. A feeling of dissatisfaction, a tension between what we expected and what actually happened, or unease about a decision can all signal that a gap has opened. Without this internal friction, a situation may pass by unexamined. The discomfort, uncomfortable as it is, performs a useful function: it draws our attention to a problem that deserves thought.
The role of knowledge and experience
Knowledge cuts both ways in problem awareness. A lack of knowledge can prevent someone from even seeing that a problem exists, because they do not realise a better outcome is possible. At the same time, too much reliance on old habits can blind us to fresh solutions. Duncker captured this danger with the idea of functional fixedness, the tendency to see an object only in terms of its usual use. His famous candle experiment, in which people struggled to use a box of tacks as a candle holder because they saw it only as a container, shows how prior assumptions can quietly limit our thinking. Recognising a problem clearly, then, is partly about staying open enough to question what we already assume.
Why understanding the nature of problems matters
This careful look at what a problem is may seem theoretical, but it underpins one of the most practical abilities a person can develop. The World Health Organization lists problem solving among its core life skills for psychosocial competence, the abilities that help people deal effectively with the demands of everyday life. Indian school education reflects the same priority. The Central Board of Secondary Education’s life skills framework states plainly that problem solving helps us deal constructively with problems in our lives, treating it as a skill to be practised rather than a talent some are simply born with.
The lesson running through all of this is straightforward. A problem is a gap between a current state and a desired one, blocked by a barrier that calls for thinking. Whether that gap is well defined or messy, whether it comes from conflicting goals or missing means, and whether we even notice it at all, depends as much on us as on the situation. Seeing a problem clearly, in its true shape and size, is already half the work of solving it.
